BASEL OFFICE - Director Purchasing Operations & Logistics

PURPOSE OF POSITION


The Director Purchasing Operations & Logistics (Ocean) is the integral part of our purchasing and procurement department. He/She is responsible for achieving the targeted operational objectives. The successful candidate will take a proactive approach in reviewing current systems and procedures through making recommendations and implementing changes. The role is key to maintaining Viking Ocean Cruises as industry leader in regards to securing quality, efficiency and delivery targets within the entire supply chain. This role furthermore requires the implementation of projects and product development on a strategic level.
The Director Purchasing Operations & Logistics (Ocean) is managing a team of four. Close collaboration with the Culinary Director and the Onboard Operations team is an essential part of this role. He/She will report directly to the Vice President Strategic Procurement.
This role is based in our Operational Head Office in Basel, Switzerland.


RESPONSIBILITIES


• Mentoring and providing on the job training to team members, and ensuring that the team are satisfactorily supported in their day to day work activities
• Forecasting levels of demand for services and products to meet the business’ needs
• Keeping a constant check on spend, usage and stock levels
• Conducting research to ensure best products and suppliers in terms of best value, delivery schedules and quality
• Identifying new potential suppliers, agree and negotiate on supply terms where appropriate
• Visiting existing suppliers across Europe (may be on short notice), and establishing and maintaining prosperous strategic business relationships with key suppliers
• Experience with strategic category management, executing sourcing roadmaps and running end to end RFQ processes
• Negotiating and agreeing contracts and monitoring their progress
• Forecasting price trends and their impact on future activities
• Developing an organizational purchasing strategy
• Managing and controlling the company’s suppliers with emphasis on service and product quality
• Ensuring products and inventory are bought at the most appropriate, yet competitive, price and delivered on time to the vessels
• Foster excellent and close internal relationships with Hotel Managers on board including presenting the company’s supply chain and order system during season start
• Continually improve purchasing methods and drive down external spend

• Producing reports and statistics
• Processing payments and invoices
• Any reasonable task requested by the company
• Representing the department at internal meetings and presenting purchasing performance achievements

• Continuous development of self and individual team members


QUALIFICATION PROFILE


• Strong solid background in purchasing and supply chain management
• Minimum 10 years previous experience in a purchasing role, ideally in the 4* or 5* gastronomy or hotel industry or in a management consultancy with a focus on procurement
• Ocean or River cruise experience is a plus
• 5 years supervisory experience
• High competency level in use of MS Office, in particular Excel and PowerPoint; MXP or any other procurement software is a plus
• Driving License
• Proven track record of controlling and reducing external spend whilst developing a solid supplier base
• Fully conversant with modern purchasing and procurement techniques
• Previous successful experience in managing and coordinating purchasing activities with relation to cost, delivery and quality
• Proven appreciation of customer service expectations and cost demands of business
• Fluent in English and German
• Strong leadership skills and proven experience in staff development
• Hands-on approach to all tasks
