BASEL OFFICE - Purchasing Manager F&B (Ocean)

PURPOSE OF THE POSITION

 

The Purchasing Manager F&B (Ocean) is an integral part of our purchasing and procurement department. He/She assists the Senior Purchasing Manager in sourcing all Food and Beverage items globally for Viking’s fleet of Ocean ships.

 

The Purchasing Manager F&B (Ocean) will be responsible for the end-to-end sourcing and contracting of F&B items from 1-2 global regions. The main responsibility includes forecast spend and savings opportunities across categories, help set category strategies, prepare tenders and RFQ documents, negotiate with vendors, maintain and update standard items and prices in Viking’s purchasing system, as well as ad-hoc analytics. In addition, the Purchasing Manager is also involved in managing logistics and planning the sourcing strategy together with the Senior Purchasing Manager and the Logistics Manager.

The Purchasing Manager will work closely with Viking’s culinary team, Onboard Operations team, as well as the ships inventory managers to ensure that all products needed for the onboard hotel operations are delivered on time and at the lowest cost possible.

 

The successful candidate will take a proactive approach in planning and managing the RFQ processes he/she will be responsible for and will keep/build a constructive and good relationship with all key vendors.

 

The Purchasing Manager will report directly to the Senior Purchasing Manager (F&B) and will be located in Basel, Switzerland. Please note that we can only accept applicants with a valid Swiss work permit or who are eligible to work in Switzerland.

 

RESPONSIBILITIES

 

For 1-2 global regions:

  • Calculate and forecast spend and savings by category
  • Independently develops category strategies and create alignment with key stakeholders
  • Maintain and update standard items and specification in our system
  • Prepare tender and RFQ documents
  • Run tenders and RFQs independently
  • Support and participate in negotiations
  • Select vendors, calculate TCO and close contracts
  • Solving issues with the suppliers (service level issues, quality discrepancies, invoices, etc.)
  • Participate in industry events and exhibitions
  • Maintain Viking Purchasing System (e.g. items, prices, logistics)
  • Conduct ad-hoc analytics related to purchasing and supply chain
  • Support the Senior Purchasing Manager in preparing status update for the Senior Management team
  • Forecasting levels of demand for services and products to meet the business’ needs
  • Conducting research to ensure best products and suppliers in terms of best value, delivery schedules and quality
  • Identifying new potential suppliers, agree and negotiate on supply terms where appropriate
  • Visiting existing suppliers and establishing and maintaining prosperous strategic business relationships with key suppliers
  • Any reasonable task requested by the company
  • Some business travel both within and outside of Europe to vendors and ships should be expected

 

QUALIFICATION PROFILE

 

  • Good background in purchasing and supply chain management
  • Strong knowledge of best practices in purchasing and procurement
  • Minimum 2 years previous experience in a purchasing role
  • Experience from the Food & Beverage or Hospitality industry not required, but a plus
  • Ability of handling complex analysis well and with limited support and supervision
  • High competency level in use of MS Office, in particular Excel and PowerPoint
  • Fluent in Business English; any other language is a plus
  • Eager to build a career in Procurement
  • Good leadership skills
  • Results-oriented, self starter and can-do mindset
  • Good planning and priority setting skills
  • Team player
