BASEL OFFICE - Nautical Training Administrator


The Nautical Training Administrator in the Viking College Maritime (VCM) is responsible for organizing all trainings under VCM. This includes coordination of all logistical tasks and updating of the Learning Management System. The position requires cooperation with VCM Project Managements and Instructional Designers.

This role will be integral part of the Viking College Maritime team and reports to the Corporate Learning and Development Manager. This role is based in our Operational Head Office in Basel, Switzerland. Please note that we can only accept applicants who are eligible to work in Switzerland or are in possession of a valid work permit.



  • Organize logistical aspects of all trainings planned under Viking College Maritime (accommodation, booking of training facilities, training materials etc.)
  • Administration of the Learning Management System for Viking College Maritime:
    • Uploading digital content in cooperation with the Instructional Designers
    • Scheduling all face to face trainings
    • Support to the trainers and instructors in recording attendance
    • Reporting
    • User support
  • Support in creating training material:
    • creation of simple quizzes
    • PowerPoint presentations
  • Administration of online material stored on Sharepoint
  • Organization of team meetings
  • Occasionally provide assistance to the Project Lead/Quality Manager for administrative tasks (e.g. organizing video recordings)
  • Business travel: approximately 30 percent


  • Fluent written and spoken English, competency in other languages are an asset (German, Dutch)
  • Very well-developed planning and organizational skills
  • Strong interpersonal skills
  • Good knowledge of Microsoft 365 package (Sharepoint, Teams, PowerPoint, Outlook)
  • Ability to work on several projects simultaneously
  • Experience with a Learning Management System is a must
  • Experience with SuccessFactors would be an advantage
  • Flexibility and willingness for cooperation and teamwork

  • Knowledge of Nautical topics and industry would be an asset
