BASEL OFFICE - Paralegal

PURPOSE OF POSITION

 

The Paralegal manages calendar, meetings, travel, expense reports, general executive administrative/paralegal responsibilities and handles a variety of responsibilities and projects. The ideal candidate for this position is self-motivated, takes initiative, is detailed oriented, and able to work in a fast-paced work environment. This position is based in our Head Office in Basel, Switzerland. Please note that we can only accept applicants who are eligible to work in Switzerland or in possession of a valid Swiss work permit.

 

RESPONSIBILITIES

 

• Manage calendar, schedule all meetings and conference calls, field emails and phone calls requesting meetings, handle meeting conflicts, review and prepare contracts

• Arrange all aspects of travel, expenses, flights, hotel reservations, rental car and car service, and coordinate any necessary itineraries

• Manage executive meetings, dinner, travel arrangements, prepare itinerary

• Communicate and liaise verbally and in writing between executives, board members and other relevant employees. Interpret and respond clearly and effectively to verbal or written instructions

• Manage various projects independently from start to finish

• Close collaboration with our chairman

• Record meeting minutes and read contracts

• Keep organization of corporate documents and filing of important contracts and documentation

• Liaise with trademark legal counsel and field trademark inquiries and coordinates with appropriate in-house personnel for action

• Represent the organization in a manner that exhibits professionalism, knowledge and integrity

• Maintain complete knowledge of and comply with all departmental policies/service procedures/standards

• Plan in advance the ordering of all materials and supplies and assure their availability

• Perform other tasks or projects as assigned by management

• Make appointments and travel arrangements as needed

• Work cooperatively with other people in order to achieve a common goal

 

QUALIFICATION PROFILE

 

• 3-5 years of experience as a Paralegal preferred

• Exceptional reading, writing and oral proficiency in the English and German language

• Thorough knowledge of Word, Excel, Power Point, Outlook

• Ability to multi-task in a fast-paced environment while maintaining a positive attitude

• Demonstrate a high degree of drive and determination

• Work with integrity, confidentiality and discretion

• Strategic and proactive ability to identify and resolve problems in a timely manner and with minimal direction

• Able to work alone without direct supervision
