FINANCIAL OFFICER

PURPOSE OF POSITION

  • The Financial Officer is responsible for overseeing & controlling the ship’s entire financial operation including revenue & cost management and guest & crew administration, in accordance with Viking’s STAR Service Standards. You are required to implement, manage and maintain all service standards as determined by the Corporate Office, and it is your duty to manage departmental performance within set budgets and targets, and to provide your team with ongoing training and support.
  • It is your responsibility to create a friendly, guest-oriented service culture to ensure guest satisfaction and repeat business, which in turn, will increase revenue and profitability of the company.

 

YOUR RESPONSIBILITIES

  • Efficiently manage the ship’s financial operation by maintaining reports and conducting internal auditing for accounting, payroll and cruise closing purposes.
  • Supervise all cash handling and auditing of the ships main safe; manage & control of cash availability.
  • Continuously communicate with Onboard and Shoreside Departments to ensure proper annual budget allocations and revenue/cost control management; attend and oversee all storing procedures.
  • Ensure that related onboard revenue areas render the best possible service and achieve maximum sales. 
  • Oversee embarkation and clearance of the vessel in conjunction with the Hotel Purser, Crew Purser and 2nd Purser Admin; ensure the proper submission of Cruise End financial reports.
  • Ensure that active cost management, wastage, control and breakage measures are in place and managed by relevant Department Heads; assist the Hotel General Manager in all aspects of the Hotel Operation by being actively on the floor, displaying ownership and demonstrating STAR Service, at all times; participate in consumable and durable inventories, including Housekeeping.
  • Maintain Par levels and ensure that inventory schedules, as per Viking’s Standard Operating Procedures, are being followed and executed by Department Heads; review and analyze inventory results by referring to consumption history and ensure that future orders are submitted, in a timely manner.
  • Together with the Heads of Department, discuss potential challenges, storing schedules and financial forecasts & results to establish awareness, ownership and a business mindset.
  • Together with the Department Heads &Hotel General Manager, monitor and analyze monthly, weekly, by monthly inventories etc., before future orders are placed.
  • Manage cost & quality of all on board concessionaires; be actively involved in the daily operation of the Hotel Department; liaise with Shoreside Financial Departments for all financial matters.
  • Manage & control Shore Excursions and Tour Dispatch; supervise the Explorers Desk, and demonstrate the ability to deal with guest complaints, in accordance with Viking’s STAR Service Standards; support all teams during peak hours and be available to guests for feedbacks and general inquires.
  • Oversee the printing & delivery of all onboard guest materials by the Hotel Administration Department.
  • Be familiar with the Human Resources Manual & Shipboard Training, and crew contracts and work schedule hours/week, to maintain working hours paperwork and if necessary, correct entries for payroll.
  • Lead and support a multi-cultural team, maximizing crew satisfaction, productivity and retention; meet with Team Leaders on a daily basis for “The Daily Reunion”, to provide feedback & operational updates as well as to ensure that your department is performing to Viking’s STAR Service Standards.
  • Provide the necessary guidance/training and information to the Hotel Administration Team, in accordance with company standards and operational needs.
  • Provide competent leadership to Heads of Department. Responsibilities include, but are not limited to: Managing performance, ensuring Maritime Labor Convention (MLC) compliance and onboard training, succession planning, crew communication and recognition.
  • Ensure you always wear the appropriate and task specific Personal Protective Equipment (PPE) as required for your duties onboard. Always use correct lifting techniques to prevent injuries.
  • Uphold impeccable grooming standards within your team at all times by complying with Viking’s Image and Uniform Standards; ensure that company property is appropriately secured and protected and that safe working practices are in place, at all times.
  • Become knowledgeable and ensure your team are knowledgeable about itinerary-related ports of call, shore excursions and all shipboard activities.
  • Positively contribute to achieving/succeeding all operational KPI goals (quality & financial) for the Hotel Department; have full knowledge about safety & security procedures and assist the Hotel General Manager to operate in line with all Public Health and environmental procedures; participate in all training concerning onboard training, safety & security, fire prevention, evacuation exercises as required by the company.

YOUR PROFILE:

  • A required minimum of 5 years plus experience as a Chief Purser, Food & Beverage Manager or similar position, within a 5 Star hospitality environment, and experience with ship operations.
  • Fluent in English - must be able to address any kind of information in an adequate manner with excellent oral and written English communication skills – the ability to speak an additional language is an advantage.
  • Must have experience in leading multi-cultural teams; flexible, stress resistant, committed team player; the appropriate HR training, craft training or equivalent, is required; must have had exposure to financial analysis and budgeting; strong administration skills are preferred and must be proficient with PC based databases, spread sheets, and word processing systems.
  • Guest-focused, service-oriented, positive personality, professional appearance and impeccable hygiene standards are required, with excellent knowledge of all Public Health Policies, team builder with exceptional work ethic, motivational skills and coaching abilities.
